Cancellation & Termination Policy

TriVision Inc. (DBA TriVision Studios) 

This policy applies to all production-related services provided by TriVision Studios, including video production, photography, creative services, studio production, event rental, editing, post-production, and AV services tied to filmed content.


1. Deposits & Payment Terms

A minimum 50% deposit is required to secure any production date, crew, studio time, or creative engagement.

All deposits are non-refundable and become earned upon receipt.

Receipt of deposit authorizes TriVision to immediately:

  • Reserve production dates

  • Allocate production and creative personnel

  • Begin pre-production and planning

  • Secure vendors, equipment, and third-party services

  • Block internal studio time and production capacity

The remaining balance is due no later than 48 hours prior to the first scheduled production date unless otherwise agreed in writing.

Failure to remit final payment may result in suspension of services without refund of deposit.


2. Termination for Convenience by Client

If Client terminates or cancels a confirmed project for any reason, the following shall apply:

A. Prior to Commencement of Production

If cancellation occurs after agreement execution but before the first production day:

  • The deposit remains non-refundable and earned

  • Client is responsible for payment of all pre-production services performed

  • Client is responsible for all third-party commitments, vendor deposits, rentals, casting fees, and non-cancellable costs

B. Within 14 Days of Scheduled Production

If cancellation occurs within 14 calendar days of the first scheduled production date:

  • 75% of the total contracted project fee is immediately due

  • All third-party and committed costs remain due

C. Within 7 Days of Production or After Production Begins

If cancellation occurs within 7 days of production or after any production services have commenced:

  • 100% of the total contracted project fee is due

  • All third-party and committed costs remain due

Reserved production dates are removed from TriVision’s booking calendar and represent lost business opportunity.


3. Pre-Production, Development & Mobilization

Pre-production services are considered billable and earned once commenced.

Pre-production includes but is not limited to:

  • Creative concepting and development

  • Scriptwriting

  • Casting coordination and talent outreach

  • Scheduling and logistics planning

  • Studio testing and mock sessions

  • Internal creative and producer meetings

  • Vendor coordination

  • Equipment planning and staging

  • Crew scheduling and mobilization

Delivery of final content is not required for pre-production work to be considered completed and earned.


4. Client-Caused Delays

If production is delayed due to client-side scheduling, approvals, content feedback, or other factors outside TriVision’s control:

  • TriVision may invoice for work completed to date

  • Reserved dates may be released unless additional holding fees are paid

  • Extended delays beyond 30 days may result in reactivation fees or revised pricing

TriVision is not responsible for internal costs incurred due to client-side delays.


5. No Refund of Earned Services

Client acknowledges that production services involve advance labor, scheduling, creative development, and allocation of resources.

Amounts paid for services already performed, mobilized, or committed are non-refundable.

Refunds, if any, are solely at TriVision’s discretion.


6. Force Majeure

In the event of force majeure, TriVision will work in good faith to reschedule production subject to availability. However, all work performed and expenses incurred prior to cancellation remain payable and non-refundable.


7. Acceptance of Terms

Execution of a proposal or payment of deposit constitutes full acceptance of this Cancellation & Termination Policy.
