Cancellation & Postponement Policy

This policy applies to all production services, equipment rentals, and studio/venue rentals booked through TriVision Studios.

 

1. Standard Cancellation (More than 7 Days’ Notice)

If the Client cancels or postpones the project or any portion thereof more than 7 calendar days prior to the first scheduled date of performance or rental:

  • All previously paid deposits and payments will be credited toward a future event of equal or greater value or may be used to reschedule the original project within 12 months of the cancellation date.
  • Any unpaid labor, rental, or material expenses incurred up to the point of cancellation will be waived.
  • Requests to apply funds to a different client or project may be considered on a case-by-case basis and must be approved in writing.


2. Late Cancellation (Within 7 Days)

If cancellation or postponement occurs within 7 calendar days of the first scheduled date of performance or rental:

  • All deposits and payments made up to that point become non-refundable.
  • TriVision is not obligated to apply those funds to a future project, date, or client.
  • Any additional costs already incurred by TriVision (e.g., crew bookings, set construction, rentals, third-party vendor payments) will be billed and must be paid in full.


3. Same-Day or No-Show Cancellations

If cancellation occurs on the day of the event or production, or the Client fails to appear:

  • Full contracted fees, including labor and rentals, will be invoiced and are due in full, regardless of services rendered.
  • To avoid this situation, full payment is required no later than 48 hours prior to the scheduled event or production date. Clients who have not submitted final payment by that point may forfeit their reservation.


4. Force Majeure

If cancellation is due to events beyond either party’s control (e.g., natural disasters, government restrictions, health emergencies), TriVision will work in good faith to reschedule the event within a reasonable time frame without penalty. However, expenses already incurred may still be billed and must be reimbursed.

5. Rescheduling Terms

If rescheduled, the new event must occur within 12 months of the original date. If not rescheduled within that period, the deposit is forfeited. Rescheduled dates are subject to availability, and pricing may be adjusted based on the new scope or timing.


6. Payment Terms

A 50% deposit is required to secure any booking, with the balance due on or before 48 hours prior to the event or production date. No services will be rendered without full payment in advance. This applies to all studio productions, venue rentals, and equipment packages.


7. Policy Acceptance

By submitting payment or signing a contract with TriVision, the Client acknowledges and agrees to these terms in full.
